Fit City Events (ABN 87859843750) operates the Vineyards Twilight running festival and this website, vineyards.run. We're committed to handling your personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), including the changes introduced by the Privacy and Other Legislation Amendment Act 2024.

What we collect

Depending on how you interact with us, we may collect: your name, email address, phone number, and emergency contact details when you register for an event; payment information when you register (handled directly by our payment processor, Race Roster — we don't store your card details ourselves); details you provide when volunteering, joining a club or business program, or contacting us; and basic non-identifying information about how you use this website, such as browser type and pages viewed.

How we use it

We use your information to process race entries, communicate event updates, coordinate volunteers, respond to enquiries, and — where you've opted in — send marketing updates about future events. We don't use your information to make automated decisions that significantly affect you, and we have no plans to.

Who we share it with

Your information is stored and processed through a small number of trusted platforms: Race Roster (registration and payments), MailerLite (email updates), Jotform (forms), and RaceResult (timing and results). Some of these providers store data outside Australia — where that happens, we take reasonable steps to ensure your information stays protected to a standard consistent with the APPs. With your consent, we may also share your email address with event sponsors and partners for marketing purposes. We never sell your personal information.

Keeping it secure

We take reasonable technical and organisational steps to protect your personal information from misuse, loss, and unauthorised access — including restricting access to the platforms above and relying on their own security practices. If a data breach occurs that's likely to result in serious harm, we'll notify affected individuals and the OAIC in line with the Notifiable Data Breaches scheme.

Access, correction & deletion

You can ask us for a copy of the personal information we hold about you, ask us to correct it if it's wrong, or ask us to delete it where it's no longer needed, you've withdrawn consent, or it was collected unlawfully.
